What we collect
When you send a request we store what you enter: name, email, phone (optional unless you ask for texts), ZIP code, details about your water heater, any existing quote amount, your notes and up to four photos. We also store the time you agreed and the exact consent wording you saw, a scrambled, one-way code made from your IP address (used to stop abuse, not to identify you) and a history of what happened to your request.
Photos
Your browser shrinks photos before upload, which also removes location and camera data stored in the file. Only photograph the water heater and the space around it. Avoid people, addresses and documents.
Who sees your request
- Ember & Tank: a person reviews every request. Our dashboard requires a sign-in.
- Local water heater companies, to price your job, only if you ask for quotes: we send your photos, heater details, notes and ZIP code. We don’t send your name, email or phone.
- The company whose quote you choose, only after you say yes: we send your name, email, phone, ZIP code, heater details, notes and photos so they can contact you to set up the replacement. If you choose no quote, no company gets your contact details.
- Anthropic (Claude AI), only if you tick the box: your photos and heater details are sent to check your photos and read the label. Your name, email and phone are not sent.
The companies in our city guides are listings from our research. Listing a company doesn’t mean it gets your request.
Texts
If you choose “Email and text,” we may text you about your request, for example when your quotes are ready. Message and data rates may apply. Reply STOP to opt out. We don’t send marketing texts and we don’t share your number for marketing.
Service providers
Requests run on Cloudflare (hosting, storage and the “I’m human” check), and emails are sent through Resend. They handle your data only to run those services.
How long we keep it
Requests and photos are deleted automatically 180 days after they are sent. A company you chose keeps what it received under its own privacy policy.
Delete or correct your request
Open the private link in your email and choose “Delete my request and photos.” Lost the link? The request page can email you a new one, or write to hello@emberandtank.com. Deleting removes your details, photos and links from Ember & Tank right away.
What we don’t do
No advertising trackers, no analytics cookies and no selling of your information. We never send your contact details to a company you didn’t choose. Links to sources and company websites go to other sites with their own privacy policies.
